Being a short-term rental host in Japan means one must comply with a variety of regulations, including collecting, storing, and remitting traveler information to the Japanese government. We’ve outlined the requirements that the Minpaku law in Japan specifies regarding traveler information collection below.

If you’re looking for more information regarding vacation rentals in Japan, Keycafe has written up a comprehensive guide to understanding Japan’s short-term rental regulations which includes information about the different licences one can obtain, a list of the required documents to operate a Minpaku, and the city-specific short-term rental restrictions across Japan.

Japan’s Minpaku Traveler Information Requirements:

  • Maintain a guestbook that records days of operation and guest information:
    • Guest names
    • Guest nationalities
    • Guest passport numbers
  • This information must be kept for up to three years.
  • Every two months operators must report:
    • Number of days hosting guests
    • Current number of guests
    • Total number of guests
    • Breakdown of number of guests per nationality

Verify Your Guest’s Photo ID from Anywhere

Keycafe’s photo ID verification is fully built-in to the Keycafe mobile app, giving homeowners, vacation rental hosts, and property managers the freedom to verify guest documents from anywhere in the world. To create an access that requires photo ID verification, key owners just need to enable the “Require Traveler ID” toggle and specify the number of guests whose photo IDs need to be uploaded. If a key owner also enables the “Photo Verification” toggle, guests will be requested to also upload a live-photo selfie of themselves, which is verified alongside the previously uploaded photo ID.

When photo ID is requested, guests need to simply take a picture of their passport or other national identification document using their mobile phone and upload it through the Keycafe app. Guest documents and selfies are verified and cross-checked by Keycafe within minutes, and digital copies of the photo ID are made available for the key owner to download.

Provide Automated Check-in for Guests

Since Keycafe’s app is fully functional on any mobile device or computer, hosts are able to manage their guest check-ins from anywhere. Keycafe’s photo ID verification feature gives hosts an added layer of security, as they can immediately verify that the right person has been given access to their keys. Property managers and short-term rental hosts now have an easy way to ensure they remain compliant with all of Japan’s vacation rental regulation.
